Quote Direct (Pty) Ltd
By accessing or using QuoteDirect — including the accountant portal — you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any part of these terms, you may not use our service.
If you use QuoteDirect on behalf of a business or an accounting practice, you confirm that you are authorised to accept these terms for it.
QuoteDirect provides a cloud-based quoting, invoicing and field service management platform for South African businesses, provided on a subscription basis.
The QuoteDirect accountant portal is a separate login for accounting and bookkeeping practices. It lets a practice work on the books of businesses that have chosen to give it access.
Subscriptions are billed monthly in South African Rand (ZAR). Payments are processed via PayFast. Your subscription renews automatically each month until cancelled. You may cancel at any time and retain access until the end of the current billing period.
The accountant portal is free for accounting practices. A practice never uses one of a business's paid seats.
You agree not to use QuoteDirect for any unlawful purpose or in any way that could damage, disable, or impair the service. You are responsible for maintaining the confidentiality of your account credentials.
Your use of QuoteDirect is also governed by our Privacy Policy. We process your data in accordance with the Protection of Personal Information Act (POPIA) of South Africa.
A business may give an accounting practice access to its books from Settings → Accountant Access, or by keeping the access box ticked when it signs up from a practice's invitation. Access is only ever given by the business; a practice cannot give itself access.
A practice with access can view and download the business's accounting export packs, financial reports, invoices, expenses and receipts, and the documents the business uploads for its accountants, such as bank statements; set the account and tax codes used in exports; close export periods and switch on the lock for closed periods; ask the business questions; share documents with the business; and record that a VAT201 return was filed. A practice cannot create or change quotes, invoices or payments, and cannot see the business's jobs, stock or team. What a practice downloads, shares or records is recorded in the business's activity log.
A practice may also keep its own working notes and checklists about the business in the accountant portal. These are private to the practice and are not shown to the business.
The business decides who has access and remains responsible for that decision. It can withdraw a practice's access at any time, and withdrawal takes effect on the practice's next request. Information a practice downloaded before access was withdrawn is in the practice's hands, and the business's arrangements with its practice govern what happens to it. Documents the practice shared with the business stay with the business.
The business must only upload documents it is entitled to share with its accountant, and is responsible for what they contain.
When you create an accountant portal login you accept these terms for yourself and for your practice. The practice is responsible for the people it adds to its team, for keeping their logins confidential, and for removing logins that are no longer needed.
A practice may use a business's information only to provide accounting, bookkeeping or tax services to that business. It must keep the information confidential and secure, comply with POPIA and its professional obligations when handling it, and keep it only for as long as the law or those obligations require. The same applies to the practice's own notes about a business, and to documents it shares, which must relate to the services it provides to that business.
A practice may invite businesses to QuoteDirect only where it has an existing relationship with them, and must not use the invitation feature to send unsolicited or bulk messages. We limit how many invitations can be sent.
We may suspend or deactivate a practice's login, and with it its access to every business, if we reasonably believe these terms are being breached or a business's information is at risk.
A practice earns commission on each business that signs up through its invitation or its referral link: 10% of each monthly subscription payment we receive from that business, excluding VAT. Commission is earned only for months the business actually pays, and only while the practice is active and the business gives it access to its books. Commission already earned is not reversed if the business later stops paying, cancels or withdraws access.
Commission is paid monthly by EFT to the bank account the practice provides, and can only be paid once those details are complete. The practice is responsible for any tax due on its commission.
We may withhold or reverse commission earned through misuse, such as self-referral or accounts created only to earn commission. We may change the commission rate or these commission terms with 30 days' notice by email; changes never reduce commission already earned.
QuoteDirect's reports, accounting exports, reconciliation checks, VAT201 worksheet and VAT registration threshold indicator are prepared from the records entered into the platform. They are tools to assist you and your accountant, not tax, accounting or legal advice. QuoteDirect does not submit returns to SARS or register businesses for VAT; a VAT201 marked as filed is the accountant's own record of a submission made on SARS eFiling.
The business and its accountant remain responsible for checking the figures and for any return, filing, registration or payment made with them. The VAT registration threshold is set by SARS and may change; the indicator uses the threshold we have configured and counts only the invoices and credit notes recorded in QuoteDirect. Export formats intended for third-party accounting software should be checked when first imported.
QuoteDirect and its original content, features, and functionality are owned by Quote Direct (Pty) Ltd and are protected by South African and international intellectual property laws.
Quote Direct (Pty) Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use or inability to use the service.
We reserve the right to terminate or suspend access to the service immediately, without prior notice, for conduct that we believe violates these Terms of Service or is harmful to other users, us, or third parties. This applies to business accounts and accountant portal logins alike.
These terms shall be governed by and construed in accordance with the laws of the Republic of South Africa.
We reserve the right to modify these terms at any time. We will notify users of significant changes via email. Continued use of the service after changes constitutes acceptance of the new terms.
